A comprehensive set of duties include
- Handle incoming phone calls, record messages accurately, and direct inquiries to the appropriate team members, ensuring timely communication.
- Respond promptly to client emails, phone calls, and messages, addressing customer inquiries related to construction projects.
- Provide excellent customer service by resolving client queries professionally and efficiently, enhancing overall customer satisfaction.
- Ensure the smooth functioning of office equipment, coordinating necessary repairs and maintenance to support project operations.
- Organize and maintain project schedules, appointments, and meetings for management and construction teams, ensuring optimal time management and adherence to project timelines.
- Maintain an organized system for invoices, contracts, project reports, and other documentation for easy access and retrieval during construction processes.
- Track and manage inventory of construction materials and office supplies, ensuring timely orders to avoid any delays in project execution.
- Assist in coordinating logistics for construction site visits, meetings, and travel arrangements for project managers and team members.
- Prioritize and manage various administrative tasks, ensuring efficient workflows in support of construction operations.
- Maintain a well-organized, professional office environment to support project planning, execution, and team coordination.
- Support overall administrative operations, contributing to the efficient day-to-day functioning of the company’s construction projects.
- Perform other relevant duties as assigned, providing general administrative support to the construction team.
Here's what you need
- Completion of Secondary school.
- Relevant education or minimum 1 year of experience.
- Strong verbal and written communication skills for handling customer inquiries.
- Excellent organizational and time management skills to manage tasks in a fast-paced environment.
- Proficient in Microsoft Office Suite; experience with construction or project management software is an asset.
- Strong customer service skills with the ability to resolve client issues professionally.
- High attention to detail for managing documentation, scheduling, and data entry.
- Ability to troubleshoot office issues and coordinate supplies and equipment maintenance.
- A collaborative team player, able to work with project managers, construction staff, and clients.
- Flexible and adaptable to changing priorities in a dynamic work environment.
